Privacy policy

The Wall for Nepal is a fundraising campaign organised by Alexander Adventures. For the purposes of UK data protection law, the data controller is Alexander Adventures Ltd, a company registered in England and Wales, company number 12302708, of Tanfield Lea Industrial Estate, Stanley, Co Durham, DH9 9UU.

We only collect what we need to run the campaign.

If you donate we collect your name, email address, the amount, and any message you choose to leave. We use these to process your donation, send your receipt, and (unless you donate anonymously) display your first name and amount on the donation wall. Your email address is never shown publicly.

If you register to walk we collect your name, email address, mobile number, the section you have chosen, an emergency contact name and number, and any medical, accessibility or dietary information you choose to give us. We use these to organise the event, to send you joining instructions, and so the support team can look after you on the day.

If you contact us as a business we collect your name, company, email, optional phone number and your message, so we can reply.

We also keep a record of what you agreed to and when: the terms, the participant declaration, the fundraising commitment, and whether you opted in to marketing, together with the IP address the agreement came from. This is our evidence that consent was given properly.

We never see or store your card details. Card payments are processed by Stripe, who handle the payment on their own systems. We receive only the amount, the outcome, a payment reference and the fee. Never a card number.

• Contract: processing your registration and your donation, and contacting you about the event you have signed up to.
• Legitimate interests: running the campaign, keeping proper financial records, and protecting the site from fraud and abuse.
• Consent: marketing emails, and displaying your name on the donation wall. You can withdraw either at any time.
• Vital interests: using your emergency contact details if something happens to you during the event.
• Legal obligation: retaining financial records for the period UK law requires.

Marketing consent is always a separate, unticked box. Registering or donating never signs you up to anything. If you do opt in, every email carries an unsubscribe link, and you can also email us to be removed.

We do not sell your information, ever. We share it only with:

• Stripe: to take card payments (their privacy policy).
• Our email provider: to send confirmations and, if you opted in, updates. We use Brevo (their privacy policy).
• Our hosting and database providers: the website runs on Netlify and the database is hosted by Supabase.
• Anyone we are legally required to share it with.

Our database is hosted by Supabase in London, so the personal information you give us stays in the United Kingdom. The website itself runs on Netlify, which serves it from data centres in the UK and Europe.

Card payments are handled by Stripe, who process data in the EEA, the UK and the United States under their own approved transfer arrangements. See Stripe’s privacy policy.

• Emergency contact, medical, accessibility and dietary information:deleted within 3 months of the event. It has no purpose after that.
• Registration and participant records: 2 years after the event, so we can answer questions about who took part and contact people about a follow-up challenge. Then deleted.
• Donation and payment records: 7 years, to meet UK financial record-keeping requirements.
• Marketing contacts: until you unsubscribe.
• Consent records: kept as long as the related record, as evidence.

Under UK GDPR you can ask us for a copy of your information, ask us to correct it, ask us to delete it, object to how we are using it, ask us to restrict processing, or ask for it in a portable format. Email info@alexanderadventures.co.uk and we will respond within one month.

Note that we may not be able to delete donation records that we are legally required to keep for financial reporting.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.
